About this policy
SmartVue (ABN 79 239 142 490) provides supervised venues where candidates sit remote interviews, assessments and exams. This policy explains how we handle personal information, in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth). In this policy, "we", "us" and "our" mean SmartVue.
It applies to employers and assessors who use SmartVue, candidates who attend a session, our partner venues and visitors to this website.
What we collect
Employers and assessors
- Name, work email, phone number, company and role
- Booking details, such as candidate names, session times and locations
- Billing details and records of our dealings with you
Candidates
- Name and contact details, provided by the employer or assessor who booked your session
- The result of your ID check. Staff check your government photo ID on arrival and record whether it matches the booking. We don't keep a copy of your ID.
- Session details: check-in and finish times, the venue used, which devices were stored in a locker, and any incidents
- A recording of your session, which we delete after 24 hours (see below)
We don't record the content of your interview through the employer's platform. The employer's own platform and privacy policy cover that.
Website visitors
This website doesn't use analytics, advertising or tracking cookies. The proposal form doesn't send anything to us directly. It opens your own email program with a pre-filled message, and we receive only what you choose to send. Pages load fonts from Google Fonts, and the Venues page shows a map from OpenStreetMap, so those services receive your IP address when you view those pages.
Session recordings
Each session is recorded so we can verify what happened if a question comes up afterwards. Recordings are kept for 24 hours and then permanently deleted. Within that time, only authorised SmartVue staff can access a recording, and only to check a reported issue. Candidates are told that the session is recorded before it starts.
How we use personal information
- To book, run and supervise sessions
- To confirm a candidate's identity and that the session was sat under fair, consistent conditions
- To prepare the integrity report for the employer or assessor who booked the session
- To respond to enquiries, send proposals and invoices, and manage our relationship with clients and partner venues
- To meet our legal obligations
We don't sell personal information or use it for advertising.
Who we share it with
- The employer or assessor who booked the session. They receive the integrity report for their candidate.
- Partner venues. The venue running a session receives the details it needs to check in and supervise the candidate.
- Service providers. We use trusted providers for email and website hosting, such as Microsoft and Cloudflare. They handle information on our behalf.
- Where required by law, for example in response to a valid request from a court or regulator.
Some of our service providers may store or process information outside Australia. When that happens, we take reasonable steps to make sure the information is protected to the standard of the Australian Privacy Principles.
Storage, security and retention
We take reasonable steps to protect personal information from misuse, loss and unauthorised access, including access controls and secure storage. Session recordings are deleted after 24 hours. Integrity reports and booking records are kept for as long as we need them to provide our services and meet legal and tax obligations, then securely deleted or de-identified.
Accessing or correcting your information
You can ask for a copy of the personal information we hold about you, or ask us to correct it, by emailing hello@smartvue.com.au. We'll respond within 30 days. If we can't give you access, we'll explain why.
If you're a candidate, the employer or assessor who booked your session holds its own records. Contact them directly about their use of your information.
Complaints
If you have a concern about how we've handled your personal information, email hello@smartvue.com.au and we'll respond within 30 days. If you're not satisfied with our response, you can contact the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.

We may update this policy from time to time. The latest version is always on this page, with the date it was last updated.
